Review Reply Checklist

Every review deserves a thoughtful response. Use this quick checklist to make sure every reply strengthens your brand.

Read the review twice before responding

Make sure you understand the core message. Misreading feedback leads to tone-deaf responses.

Thank the reviewer by name

Personalization shows you're paying attention. "Thanks, [Name]" > "Thanks for your feedback".

Acknowledge their specific experience

Reference something specific they mentioned. Shows you actually read it, not using a template.

For negative reviews: don't be defensive

Acknowledge the issue, explain what you're doing about it, offer to make it right. Never argue.

For positive reviews: highlight what they valued

"Glad you love [specific feature]!" reinforces the feature for other readers.

Include a forward-looking statement

"We're working on [improvement]" or "Excited for you to try [upcoming feature]" shows momentum.

Keep it concise (2-4 sentences)

Long responses look defensive. Short, genuine replies feel confident and professional.

Offer to continue the conversation privately

For complex issues: "Would you mind emailing us at [email]? We'd love to dig deeper into this."

Check for tone and professionalism

Read your response as if you were a prospective customer. Does it make you trust the brand more?

Respond within 24-48 hours

Fast responses show attentiveness. Stale reviews without responses look like nobody's home.
